Volunteer Plenary Liaison -- Ontario Geothermal Association Conference

Founded in 1968, the Heating, Refrigeration and Air Conditioning Institute of Canada (HRAI) is a non-profit national trade association of manufacturers, wholesalers and contractors in the Canadian heating, ventilation, air conditioning and refrigeration (HVACR) industries.

The Ontario Geothermal Association (OGA) is a not-for-profit organization representing geothermal energy system designers, drillers, installers, equipment manufacturers and distributors to advance Ontario’s geothermal heating and cooling industry.  The OGA strives to be a bridge between consumers, government and industry professionals while acting as a voice to increase awareness for the importance of working towards the use of a greener, cleaner and self-sustainable energy source.

 The OGA was established in June of 2009 and on April 16, 2013 they were proud to announce that OGA and HRAI entered into a formal agreement making OGA an affiliated association of HRAI.


Job Description

  • Ensure that all who enter the meeting room have the appropriate conference badges

  • Assist exhibitors with set up of their booths

  • Crowd Control: control the flow of people in and out of the room, help delegates find seating when required

  • Time Keeper: facilitate time keeping (monitor the start of each presentation and notify presenters of the time remaining in their presentation)

  • Photographer: take photographs of attendees, speakers and exhibitors throughout the day

  • Accommodate speaker requests and relay speaker requests to Speaker Liaison

  • Mic Runner: assist with Q&A sessions by passing the mic to audience members with a question

  • Runner: assist with set up and tear down, get additional supplies, provide exhibit support, make copies, change registration signs, and meet the needs of the conference organizer

Monitor event for potential risks and relay to conference organizer

Note: The above role is an unpaid volunteer position. Volunteers may be asked to change roles or complete tasks in both roles throughout the event.

  • Experience assisting with events

  • Experience with Microsoft Word

  • Strong organizational skills

  • Strong interpersonal skills

  • Strong problem solving skills

  • Characteristics: team player, initiative-taker, quick-thinker, friendly

Time Commitment

  • Orientation Day: February 15th from 2:00 p.m. – 4:00 p.m.

  • Event Day 1: February 21st from 1:00 p.m. – 8:00 p.m. *dinner provided*

  • Event Day 2: February 22nd from 7:00 a.m. – 4:30 p.m. *breakfast & lunch provided*
