Reporting to the Executive Director as a member of the senior management team, the Director, Finance and Administration is responsible for ensuring that Second Harvest’s financial, information technology, human resources and administrative systems are efficiently managed in order to increase its capacity and meet its strategic goals. This position will contribute to the overall effective management of the organization by leading all internal financial and administrative operations through a small team of people and developing and implementing new processes, systems and infrastructure. The Director, Finance and Administration will play an important role in exciting new developments that are underway.


This is an opportunity to play a key role in the continued success and growth of the largest food rescue program in Canada. With a vision that no one need ever go hungry in the communities we serve, Second Harvest has been rescuing donated, surplus food, which would otherwise have gone to waste, since 1985 and delivering it to community agencies across Toronto. Since 1985 we have rescued and delivered more than 100 million pounds of food and prevented over 50 million pounds of greenhouse gas equivalents from entering our atmosphere. We currently partner with 225 agencies supporting 591 programs, providing enough food for 25,000 meals a day for hungry people in the city.


Financial Reporting and Budgeting

  • Provides leadership and strategic direction regarding development and the enhancement of Second Harvest’s accounting, financial reporting, and internal control activities Responsible for the preparation of monthly management reporting, quarterly reporting for the Board of Directors and the annual audited financial statements in accordance with IFRS and GAAP
  • Responsible for oversight of accounting systems and internal control processes as well as financial policies, systems and controls
  • Oversees the financial operations of the organization including developing and monitoring the budget, all accounting and financial processing and systems, and setting financial priorities
  • Ensures frequent and timely financial analysis and reporting against the financial plan
  • Manages the cash flow of the organization, ensuring there is sufficient cash flow to meet monthly expense commitments at all times, and extra funds are invested according to the organization’s Investment Policy
  • Oversees external audits including preparation of the various year-end reports 

Strategic Management

  • Advises the Executive Director and key members of senior management on financial planning, budgeting, cash flow, investment priorities, and policy matters; ensures the Executive - Director is advised of all financial status, issues and information
  • Identifies, manages and mitigates risk across all areas of responsibility 

Management Infrastructure and Administration

  • Ensures that office maintenance, equipment & building purchase/lease, and building maintenance are undertaken effectively and cost-efficiently and oversees the emergency preparedness program
  • Coordinates the process for identifying and procuring new space, office/warehouse design, renovations, communications, and the move from current space
  • Develops clear and comprehensive administrative systems and procedures to maximize the use of resources in the delivery of high quality services
  • Recommends, implements and maintains an appropriate system of policies, internal controls, accounting standards, and procedures, including risk management, and ensures compliance with all government legislation and regulations
  • Provides the processes for the selection and management of contract/outsourced services
  • Serves as Second Harvest’s Privacy Officer 
  • Procures and manage insurance policies as required
  • Ensures quality maintenance and security of Second Harvest’s assets, records and facilities 

Team Leadership

  • Builds and leads the Finance and Admin team, promoting a culture of high performance and continuous improvement that values learning and a commitment to quality
  • Establishes and monitors direct staff performance and development goals, mentors, assigns accountabilities, sets objectives, establishes priorities, evaluates results and conducts annual performance reviews 

Technology and Database

  • Evaluates and improves Second Harvest’s information technology infrastructure and processes, implementing new technologies to support key capabilities as required for future growth, and to support and drive key initiatives
  • Directs the selection and implementation of a new database platform for Second Harvest 

Payroll and Human Resources

  • Develops, maintains, and communicates effective and efficient policies and procedures for all staff related matters and organizational structure
  • Oversees the Payroll function including management of an outsourced vendor, ensuring accurate inputs, payments, reporting and audits and ensuring regulatory compliance
  • Manages all aspects of human resources administration including group benefits and the RRSP plan
  • Ensures legal and legislative compliance in all employment practices, as well as Payroll and benefits 


  • Professional Accounting Designation
  • Strong knowledge of computers and IT networking skills, with advanced Microsoft Office skills
  • Solid understanding of risk management, including the ability to identify, manage and mitigate risk
  • Current knowledge of applicable regulations and financial reporting standards, as well as understanding of Privacy and Employment legislation
  • Minimum 10 years financial management experience (preferably including experience in a not-for-profit organization) and management experience including developing and mentoring team members
  • Experience in managing the administration of accounting and payroll as well as functions such as facilities, information system, H.R. administration, and insurance
  • Advanced knowledge of accounting software; experience using IMIS software is an asset
  • Demonstrated experience in building appropriate systems and controls to meet accounting and regulatory needs
  • Experience working with external auditors, Directors and Committees of a Board
  • Valid Driver’s License and clean driving record
  • As this is a position of trust, the final candidate will be required to authorize and pass a Criminal Record check

  • Excellent communication skills, and the ability to perform well under pressure and regularly meet strict deadlines in a fast-paced environment
  • A systematic, disciplined, risk-based approach to problem-solving and decision-making to make recommendations and decisions that consider all implications and the proactive management of risk
  • Develops and maintains effective relationships throughout the organization as well as externally
  • Ability to work independently and demonstrate accountability
  • Demonstrates support for change and engages others
