Job Description

We are seeking an experienced Administrative Assistant to support the Complaints Director / Senior Manager, Professional Conduct and other leadership positions within the team. 


Your primary responsibilities

  • Manage several calendars, prioritize workflow, schedule appointments and meetings, coordinate travel, catering and meeting room logistics

  • Draft agendas, prepare meeting packages, record accurate minutes, coordinate follow-up on action items, and act as a key resource for meeting attendees

  • Prepare, draft, edit, and distribute correspondence to members, as well as responses to queries from stakeholders

  • Schedule hearing tribunals and act as a key resource for tribunal members and court reporters

  • Maintain department generated documents and records (including classification, filing, storage, retrieval, retention and destruction)

  • Manage intake of reports and processes for invoices and contracts 


You possess

  • Two year post-secondary diploma in business, office administration or  equivalent certification

  • Minimum three to four years’ experience in an administrative assistant capacity, providing direct support to senior management

  • Excellent business writing, editing, proofreading, cross-referencing and formatting skills with attention to detail and accuracy

  • Intermediate to advanced level proficiency skills in MS Word, Excel, Power Point and Outlook

  • Advanced skills in developing and managing electronic and hard-copy filing systems

  • Exceptional interpersonal, verbal and written communication skills

  • Excellent time management, prioritization and organizational skills with proven ability to multitask
