Job Description

Responsibilities

  • Entry level position on the Finance Team, focusing on transaction processing and entry, accounts payable and accounts receivable.   Supports the Finance Team through assisting with month-end processing, banking, year-end audit preparation and record-keeping.

  • Reports to the Manager, Accounting
  • Responsible for ensuring all purchasing policies and procedures are followed and that appropriate authorizations are obtained for all transactions
  • Accountable for accuracy and integrity of his/her work
  • Frequent contact with suppliers and customers makes this role representative of the organization; accountable for maintaining professionalism and integrity that reflects Hamilton Utilities Corporation’s core values
  • Accounts payable function for all entities including generation of Purchase Requisitions, review of Purchase Orders and Invoices with accurate comparison to contract terms to ensure correct billing and assessed taxes; back up documentation is compiled and final approvals issued; validation of account allocation and issuance of disbursements, entry of information into accounting system for processing.
  • Coordinates with vendors to ensure accounts are balanced and reconciled on a regular basis and that any discrepancies are resolved in a timely and professional manner.
  • Assists with cheque run preparation and remittance.
  • Accounts receivable representative for all entities including preparing invoices for charges relating to customer services, collections, cash applications and aged receivables reporting and reconciliations.
  • Monitors outstanding invoices in the billing cycle and follows up with customers regarding payment.
  • Reconciles corporate credit card statement.
  • Performs general accounting functions as assigned such as preparing journal entries, monthly accruals, prepaid amortization, HST filing for each business and ensures any reconciling items are dealt with in a timely manner.
  • Accurately prepares and maintains accounting documents and records.
  • Maintains corporate policies, electronic files and spreadsheets
  • Some light administrative work including filing, monitoring of office equipment as required
  • Ordering, receiving and reconciling of office supplies; maintains office supply room as required; light lifting
  • Other duties as assigned.
