Job Description

1-YEAR CONTRACT POSITION

Department:      Operations 

Reports to:        Vice President, Operations 

Job Summary:  Reporting to the Vice President of Operations, the Manager, Print Fulfillment & Procurement is responsible for the oversight of all print and mail production, including quality control from beginning of production to distribution.  Responsibilities include management of vendors and costs associated with the execution of print and mail.  Acts as the main point of contact for all local facilities issues.

DUTIES & RESPONSIBILITIES

Print, Production and Facilities

Source, quote, award and track projects/jobs through the execution cycle while prioritizing jobs and providing ongoing communication to business partners

  • Create and manage project schedules ensuring completion within timelines.

  • Ensure optimal print quality is achieved within organizational budgets

  • Provide recommendations for innovative printing and process solutions

  • Reviews project specs and design, troubleshooting any issues and providing expertise on improvement opportunities

  • Accountable for establishing, maintaining and monitoring a comprehensive and cost effective  vendor procurement strategy

  • Track, measure, report and evaluate vendor performance (print, fulfillment)

  • Supervise and develop Fulfillment, production and graphic design staff

  • Control all internal and external stock inventories

  • Manage office maintenance including cleaning staff, kitchen

  • Oversight of facility issues including liaison with building management, maintenance vendors and Health and Safety Committee involvement

  • Create an organizational model for mailing house capabilities and manage all dependent relationships

 General

  • Provide leadership and mentoring guidance to Production and Fulfillment teams

  • Deliver knowledge to business teams as required (focus groups, task committees, Subject Matter Expertise) including engagement in project teams or task work initiatives

  • Make process improvements through streamlined activities, elimination of redundancies, enhanced efficiencies.

  • Work closely with VP Operations on budget preparation

  • Actively communicate and engage with internal business partners and with unit leaders on process gaps

SKILLS & QUALIFICATIONS

  • Minimum  education College Diploma

  • Foundational experience with logistics, distribution and supply chain management

  • Minimum of management experience in print production including print procurement

  • Experience with fulfillment functions; mail, courier, shipping

  • Proven knowledge of vendor management.  The ability to source, monitor and contract vendors to best practice standards

  • Pre-press work experience and/or knowledge of graphics, fonts and print design is preferred

  • Familiarity with marketing communications (with digital specialization)

  • Excellent written and spoken English skills with the ability to communicate effectively

  • Knowledge of desktop publishing/typesetting operations including software

  • Proficient in MS Office Suite and working knowledge of Adobe/InDesign applications

  • Strong organizational skills and proven time management and project management skills

  • Ability to effectively schedule and prioritize daily routines as well as specific task completion

  • Excellent leadership qualities, good interpersonal skills

  • A leader who will develop and motivate staff to achieve best of class standards

  • Demonstrated ability to lead by example to ensure a team approach is in place

  • Experience within the Insurance Industry is an asset but not required

  • Driver’s license required
