Job Description

Position Summary:

HUB Capital Inc., is seeking a dynamic Dealer Services Administrator based out of our Woodbridge, ON office. The successful candidate reports to the Manager, Investment Operations and is responsible for assisting with onboarding new advisors, liaising with internal and external stakeholders, new client setup and ongoing reconciliations.

Role & Responsibilities :

  • Assisting with daily and monthly reconciliation including investigation of errors and exception processing

  • Providing broker access to investment back office system and first level troubleshooting

  • Setting up client access and first level trouble-shooting

  • Assisting with onboarding of new advisors by providing welcome package and system access

  • Processing bulk dealer-rep changes and rep maintenance

  • Annual processing of free unit switch transactions

  • Processing of Letters of Indemnity to fund companies and insurance carriers

  • Monthly reconciliation of leverage accounts

  • Handling of returned client mail

  • Respond to email inquiries and requests as assigned

  • Working with internal customers to resolve back office administrative issues

  • Liaising with fund companies/carriers to obtain transactional history files for processing

  • Assisting with special projects and UAT testing as required

Qualifications & Experience:

  • High School Diploma

  • A minimum of 1 - 2 years of mutual fund industry experience andback office processing

  • Experience with Fundserv is an asset, including Fundserv standards knowledge

  • Excellent communication skills both written and verbal

  • Detail oriented with strong accuracy and attention to detail

  • Proficiency with MS Office suite including a basic level with Excel and overall proficient in computers

  • Ability to multi-task and work well in team environment

  • Demonstrated ability to work efficiently and effectively, prioritizing through effective time management skills

  • Basic accounting skills are considered an asset

  • Excellent problem solving and analytical skills

  • Willingness to commit to higher industry education (IFIC, CSI etc.)
