Position Summary

Reporting to the Director, you will undertake and facilitate a variety of business-related and administrative tasks with the ability to adapt in a demanding fast-paced environment. Must display a proactive approach to problem-solving, and strong decision-making skills with outstanding written, verbal, and interpersonal communication skills.
Job Description
- Provide technical support and assistance with reports, correspondence, presentations, and documentation
- Produce high-quality, detailed work based on established standards, guidelines, and procedures
- Precise consistent work output and a willingness to handle and complete administrative tasks as required or directed
- Analyze and filter incoming documents, emails, calls, and submissions and distribute them accordingly
- Evaluate information and workflow to provide personalized and timely support. Make judgments and recommendations to contribute to efficient day-to-day operations
- Manage the Director’s professional and personal calendars, arrange meetings, and coordinate appointments
- Administration duties including but not limited to photocopying, filing, completing meeting minutes, making travel arrangements, etc.
- Assistance in scheduling leads, following up with leads, assistance selling projects, and estimating, as required
Requirements
- Proven experience as an Executive Assistant, Personal Assistant, or similar role
- In-depth understanding of Microsoft Office (Outlook, Excel, Word, PowerPoint, MS Project)
- Ability to grasp new programs and software
- Must maintain the confidentiality of documents and information across all levels of the organization
- Exceptional verbal and written communication skills
- Attentive to detail, organized, and able to meet deadlines under pressure are a must
- Professional and friendly demeanor
- Valid driver’s license with reliable transportation
- Must be available to work flexible hours if required
- Local or willing to relocate to Central Alberta
Assets
- Post-secondary education in Business Management or a related field
- Familiar with precast concrete and building construction
- Previous background in estimating
- Previous background in accounting
- Basic understanding of financial documents
- Comfortable interpreting legal documents
