The Administrative Assistant reports directly to the Executive Director of the Bone and Joint Health Strategic Clinical Network (BJH SCN) and provides comprehensive administrative support to the BJH SCN Team. As a representative of this program, the incumbent will assist the public and external stakeholders with questions/concerns, as well as liaise with internal departments to ensure processes and procedures that are used in daily work, are accurate. The duties will also include, but are not limited to: meeting preparation and minutes, transcribing a variety of documents, compiling statistics/spreadsheets, payroll and timekeeper duties, composition of confidential information and correspondence, calendar management; including the scheduling of meetings/appointments/teleconferences, together with manager responsible for recruitment process; including maintenance of employee status, as well as assisting with budget tracking and reconciliation including competence with Oracle and iExpense applications. The incumbent is required to provide a high standard of interpersonal communication and must demonstrate confidentiality, flexibility, and initiative. The Administrative Assistant will be needed for both non-routine and standard assignments and be required to use independent judgment to meet objectives and problem solve. The position will assist with the scheduling of meetings with senior leadership, physicians, patients, and other key stakeholders.
You will require advanced administrative or specialized skills and knowledge to support complex workflows, practices and initiatives within these networks. Support a variety of tasks associated with the Executive Director’s (ED) area of accountability. Responsible for personnel processes such as recruitment, onboarding, payroll, etc. Scheduling a wide range of meetings & meeting formats with diverse stakeholders, often with complex and conflicting availabilities. Coordinating and developing supporting meeting materials, such as agendas, minutes, follow-up actions. Schedule events, programs, and activities for the BJH SCN team and stakeholders. Develop constructive and cooperative working relationships with others and maintaining them while encouraging and building mutual trust, respect, and cooperation among team members.

Required Qualifications:
Completion of post-secondary education (e.g., certificate in office or business administration). A combination of education and experience may be considered. Excellent interpersonal skills and strong written and oral communication skills. Demonstrated knowledge and proficiency in working with various computer programs including: Microsoft Office (Word, Excel, Access, PowerPoint), Visio, Outlook, etc. Virtual Meeting applications e.g., Microsoft Teams, Zoom, etc. AHS applications e.g., iExpense, Markview, ePeople, etc. or ability to acquire proficiency. Minimum of 5 years administrative experience preferably in a health-related environment is required. Professional communication style (oral and written). Must be highly organized while demonstrating strong attention to detail while having experience in coordinating multiple, complex and diverse tasks. Expected to manage a high-volume workload with competing priorities. Capable of independent problem solving and making decisions with confidence. Excellent ability to create relationships with diverse teams, partners, and stakeholders in a professional and efficient manner.

Excellent time management skills required. Ability to take initiative and handle a variety of assignments with ability to effectively manage and prioritize work and deal with changing priorities and difficult issues in a sensitive, confidential, and timely manner.
Preferred Qualifications:
5 -10 years administrative experience preferably in a health-related environment. Ability to foster a climate of collaboration and cooperation while building solid relationships with public agencies, government, boards, committees, and other stakeholders/partners. Has a strong organizational awareness and understanding of AHS administrative processes.
