We are seeking a skilled and experienced Office Administrator to join our growing real estate team in Vancouver, B.C. The successful candidate will be responsible for overseeing and managing all administrative aspects of our real estate operations, ensuring compliance with local regulations, and supporting our team of realtors. This position requires a strong understanding of the Vancouver real estate market and the ability to manage budgets, work with vendors, and establish effective partnerships.
Key Responsibilities:
- Coordinate and manage all office administrative tasks, such as maintaining accurate records, scheduling appointments, and ensuring smooth communication within the team and with clients.
- Develop and manage budgets for office operations, including the negotiation of contracts with vendors and suppliers, and monitor expenses to optimize cost-efficiency.
- Act as the primary point of contact for clients, answering inquiries, providing updates on the status of transactions, and addressing any concerns or issues that may arise.
- Establish and maintain strong relationships with key partners, such as mortgage brokers, appraisers, inspectors, and legal professionals, to ensure seamless collaboration and support throughout the real estate transaction process.
- Implement and manage effective marketing strategies for property listings, including the creation of promotional materials, coordinating open houses, and utilizing social media and online platforms.
- Maintain a thorough understanding of the Vancouver, BC real estate market, including regulations, trends, and best practices, in order to support realtors and provide informed guidance to clients.
- Create and implement compliance systems and processes in accordance with British Columbia Financial Services Authority (BCFSA) and Real Estate Services Act (RESA) regulations/guidelines to maintain the highest standards of professionalism and legal compliance within the organization.
- Oversee the management of real estate transactions, including the preparation and review of documents, ensuring compliance with local and provincial regulations and guidelines.
- Direct and advise staff engaged in providing real estate sales coordination, marketing coordination, and other administrative services, ensuring work priorities are established, delegated, and deadlines are met.
- Provide exceptional customer service to clients and team members, fostering a positive and supportive work environment.
Qualifications:
- A minimum of 1 year of experience in an administrative role in a high-producing real estate team, preferably within the Vancouver market.
- Completion of secondary education is required.
- Strong knowledge of local and provincial real estate regulations, guidelines, and best practices.
- Excellent organizational and time management skills, with the ability to prioritize tasks and work under pressure in a fast-paced environment.
- Exceptional communication and interpersonal skills, with the ability to build and maintain relationships with clients, team members, and external partners.
- Proficiency in using real estate-specific software and tools, such as MLS and property management systems, as well as standard office applications like Google Workspace Suite and Asana.
- A proactive and solution-oriented mindset, with a strong attention to detail and a commitment to providing exceptional customer service.
- Prior experience with building and implementing a CRM SaaS Platform.
