Broadleaf Health is a well-established emotional, psychological, and behavioural health clinic, with offices in Guelph and Waterloo. We are looking for an office administrator to join our close-knit multi-disciplinary team. We offer psychological services for a wide range of clients, including adolescents, families, and adults.

Position Description:
Our friendly and supportive team is looking for an individual who can help us run the clinic effectively by providing direct support to the clinic director and associates, helping us meet the needs of current and incoming clients and supporting us in providing excellent care. Our practice is growing and new opportunities will arise as we expand.
Job responsibilities include but are not limited to:
- Prepare and maintain clinic forms including receipts and invoices
- Maintain a professionally organized, efficient and tidy clinic
- Assist with finances, including processing of payments
- Assist with marketing, social media and other business procedures
- Transfer clinical files to electronic medical records system
- Greet clients for in person appointments
- On-board new Associates
- Oversee occasional rental of clinic space
- Maintain clinic policies and procedures
- Manage inventory of supplies
- Maintain professional licensure records for clinical staff
- Maintain paper and electronic filing systems
- Outreach to the community to promote services and workshops
- Manage professional training workshops, including registration
- Oversee occasional rental of clinic space
- Manage client intakes by responding to phone inquiries and emails; maintain records to track clients and ensure they are connected to a clinician in a timely manner
- Communicate with clients on administrative matters
- Coordinate and maintain confidential client paperwork
- Verify insurance benefits
- Work closely with all Clinical Associates to ensure a smooth and efficient use of all clinic offices such that Associates and clients are able to secure the appointment times required
- Work with a range of suppliers
Qualifications and Skills:
- Experience or training in an administrative role, preferably within a healthcare practice (psychological, medical, dental, etc.)
- Proficiency in Microsoft Office Suite
- Strong written and oral communication skills
- Ability to handle sensitive information with confidentiality
- Excellent customer service skills
Full- Time, Monday - Friday (approximately 30 hours per week, no evenings or weekends).
Salary: $25.00-$35.00 per hour, commensurate with experience and qualifications.
