Job Summary:
Provides human resources assistant functions including recruitment and selection, orientation and onboarding, attendance management, accommodations and return to work. This position works extensively within the division’s HR system to set up and maintain employee records and related reporting.
Duties and Responsibilities
Talent management
- Supports the staffing process for select employee groups (non-teaching) including the recruitment of the RETLife program employees with oversight from the Manager, Human
Resources, including all phases of recruitment (job posts, screening, interviewing, offer)
- Develops job bulletins and advertisements for job vacancies
- Receives, processes, and maintains all applicants for employment and searches for appropriate applicants for specific vacancies when requested
- Pre-screens and interviews applicants and conducts reference checks
- Sets up and maintains employee records in the Division’s HR Information System
- Keeps accurate records of Divisional placements and leaves of absence and term appointments
- Tracks and manages the administration of performance management for select employee groups
- Attends career fairs and prepares related information and materials as required
Orientation and onboarding
- Assists in training and orientation of new divisional staff as required
- In collaboration with the HR team, supports the Division’s onboarding and orientation program
Attendance management
- Supports attendance management by generating attendance reports, flagging concerns, and preparing related documentation
General
- Replies to routine as well as complex and sensitive inquiries
- Administrative record keeping and filing
- Other duties as assigned
Qualifications
- A related university degree or a certificate in Human Resources Management. (CPHR is an asset)
- Minimum 3-5 years prior HR Relevant experience required
- Experience in a unionized environment is an asset
- Thorough knowledge of applicable employment and human rights legislation
- HRIS experience is an asset
Skills and abilities
- Excellent interpersonal and communication skills
- High degree of initiative, organizational skills, time management ability and work with minimal supervision
- Good public relations and communication skills with the ability to work cooperatively and harmoniously with colleagues, management, and be able to deal effectively with the public
- Operate office equipment such as fax machines, copiers, and phone systems, and use computers for word processing, spreadsheet, database management, and other applications
- Respect confidentiality of work

- Sitting for long periods of time may be required
- Unpacking delivered goods and office supplies may require lifting
Working conditions:
- Exposure to noise and frequent interruptions with conflicting demands and deadlines
