Our Subdivision and Development Coordination Team is at the heart of creating vibrant communities. We manage the process of dividing land, partner with developers to provide essential utilities and infrastructure like water lines, sewers, roads, and more. Our dedicated engineering review and inspection teams ensure everything meets the highest standards. Join us, and as an Administrative Clerk, you'll be the backbone of our operation, providing vital administrative support to our dynamic team.
With a focus on the City of Edmonton’s Cultural Commitments to Safe, Helpful, Accountable, Integrated and Excellent, you will:
- Provide clerical and administrative support to the Director and the Subdivision and Development Coordination Section and the Development Servicing Agreements Unit
- Manage interoffice mail for the Section, plus handling registered mail and courier services as required
- Attend weekly meetings with General Supervisors
- Preparing and collecting background information for meetings, organizing, booking, preparing agendas and taking minutes
- Coordinate equipment installations, upgrades and refreshes, including laptops and accessories, desk phones, cell phones, etc.
- Assist with onboarding functions for new employees, including office space, computer equipment, software, phones, equipment, supplies, etc.
- Assist with Corporate ID cards and provide building/elevator access and parking
- Preparing and collecting background information for meetings, organizing, booking, preparing agendas and taking minutes
- Directing and tracking Servicing Agreements through the execution process
- Maintaining accurate database of all Servicing Agreements and caveats
- Preparing caveat discharge documents, or postponement documents and ensuring that they are executed and provided to the applicant for registration at the Alberta Land Titles office
- Process invoices/payments, including PO purchases and non PO purchases
Qualifications:
- Grade 12 High School diploma, including business subjects or completion of an appropriate Business Administration certificate program from an approved business college
- Minimum of 2 years of general office experience, including office practices and procedures in a professional environment
- Advanced skills in a desktop environment, including the use of Google Suite of applications, including Gmail, Google Calendar, Google Docs, Google Sheets and Google Slides
- Proficiency with POSSE, SPIN and ARIBA would be an asset
- Excellence in customer service, professionalism, and great interpersonal skills
- Highly developed time management and organizational skills
- Well developed verbal and written communication skills
- Problem solving skills and research capabilities are required

Up to 1 temporary, full-time position lasting up to 14 months in duration and may be extended to 18 months in accordance with Article 18.02 of the Collective Agreement
Hours of Work: 33.75 hours per week. Monday - Friday
The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.
Salary: $23.664 - $29.385 (Hourly)
