We are seeking a highly organized and motivated individual to join our team as an Administrative Assistant for our company. This position plays a crucial role in supporting the daily operations of the business, managing various administrative tasks, and assisting with sales and marketing efforts. The ideal candidate should possess excellent organizational, communication, and multitasking skills, along with a strong understanding of IT operations.
Responsibilities:
1. Daily Operations Support:
- Provide general administrative support to ensure smooth daily operations.
- Answer phone calls, respond to inquiries, and direct calls to appropriate team members.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Maintain and update internal databases, files, and documents.
2. Bookkeeping and Invoicing:
- Assist with basic bookkeeping tasks, such as recording expenses, tracking payments, and reconciling accounts.
- Generate and send invoices to clients accurately and in a timely manner.
- Follow up on outstanding payments and address client billing inquiries.
3. Prospecting and Follow-ups:
- Conduct research to identify potential clients and prospects.
- Assist in generating leads and maintaining a prospect database.
- Follow up with prospects and schedule appointments for the sales team.
4. Payroll Management:
- Assist in managing employee time tracking and payroll processing.
- Maintain accurate records of employee attendance, leaves, and overtime.
- Collaborate with the HR department to ensure compliance with payroll policies and procedures.
5. Marketing Support:
- Assist in executing marketing initiatives, such as social media posts, blog content, and email campaigns.
- Help maintain the company website and update promotional materials.
- Collaborate with the marketing team to coordinate events, trade shows, and client seminars.
6. Sales Assistance:
- Provide administrative support to the sales team, including preparing sales materials and presentations.
- Assist in managing the sales pipeline and CRM system.
- Help with client onboarding and follow-up activities.
Requirements:
- High school diploma or equivalent; associate's or bachelor's degree in a relevant field is a plus.
- Proven experience in an administrative role, preferably in the IT industry or a similar environment.
- Familiarity with IT terminology and basic understanding of IT operations.
- Proficient in using productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint) and cloud-based collaboration platforms.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Attention to detail and accuracy in performing administrative tasks.
- Ability to work independently, as well as collaboratively in a team-oriented environment.
- Prior experience with bookkeeping, payroll, marketing, or sales support is desirable.
- Familiarity with CRM systems and marketing tools is a plus.
